Thank you for your sponsorship of the upcoming conference. Below you will find key information to assist you as you make your plans for exhibiting at the Conference.
Exhibitor Sponsor Representative Registration:
All NEAIR sponsors must complete a conference registration; please do so by the Early Bird Deadline of October 17th. Registration includes dinner on Sunday, breakfast and breaks on Monday and Tuesday, and lunch on Monday.
A direct link to the Conference Registration page is provided here for your convenience. Enter the email address of the attending representative. If the attending representative is not in our system, they will need to join NEAIR. Membership as a sponsor representative is free - click JOIN NEAIR.
REGISTER FOR THE 2025 NEAIR CONFERENCE
Hotel Information:
NEAIR has reserved a block of rooms at the rate of $189 (single/double) at the Bethesda North Marriott Hotel and Conference Center. You must use this link to receive the conference rate.
Booths:
Each exhibitor will receive a six-foot table with two chairs and a power-strip. There will be complimentary wi-fi in the Exhibit Area.
Shipping Information:
All packages received and shipped by the Bethesda North Marriott Hotel and Conference Center team will incur a handling fee. Packages may arrive to the Hotel no earlier than Thursday, November 6th. Packages arriving prior to that date will incur an additional daily storage fee. You must complete the Shipping and Handling Form and email to shira.bazian@marriott.com. This form also contains additional information about handling and storage fees.

At the Conclusion of the Conference:
Please fully pack and affix a prepaid label and leave them at your table. The North Bethesda Marriott hotel team will pick them up from there and transport them to the loading dock for pickup. You are responsible to schedule pick up with your preferred carrier no later than Thursday, November 13th. Any packages remaining beyond that date will incur additional storage fees.

5:00 PM Welcome Reception in Salon Foyer
5:30-7:00 PM Keynote Speaker & Sponsor Lightning Talks (if Platinum or Gold level)
NOTE: we have a full line up of pre-conference workshops running on Sunday with a break from noon-1pm. You may be interested in being available at that time.

7:00 AM Breakfast in Salon A-D, adjacent to the Exhibit Area
9:45-10:15 AM Coffee break in the Exhibit Area
12:00-1:45 PM Lunch in Salon A-D, adjacent to the Exhibit Area
2:30-3:15 PM Poster sessions in the Exhibit area
Tuesday, November 11th
7:00 AM Breakfast in Salon A-D, adjacent to the Exhibit Area
9:00 AM Keynote in Salon A-D, adjacent to the Exhibit Area
11:30 AM-Noon Conference Closing, snack break in Exhibit Area
12:00 PM Conference Officially Ends
1:00 PM Materials must be packed and ready for shipment
